futureZAB Terms & Conditions
Plain-language summary
futureZAB is a behavioral assessment platform offering two distinct services: (1) Self-Initiated Assessment — candidates voluntarily take the VibeLogic Assessment for free and receive a personalized report. (2) Employer-Requested Assessment (B2B) — employers engage futureZAB to assess their own job applicants (see Section 5A). futureZAB is not a recruitment agency and does not place candidates into jobs. Sections marked with Candidate or Employer apply only to that role.
1. Introduction & Definitions
These Terms and Conditions ("Terms") constitute a legally binding agreement between you ("User," "you," or "your") and Renewing Minds Consulting LLC, operating as futureZAB ("Company," "we," "us," or "our"), governing your access to and use of the futureZAB platform, website, and all related services (collectively, the "Platform").
By using the Platform or submitting the VibeLogic Assessment, you acknowledge that you have read, understood, and agree to be bound by these Terms. If you do not agree, do not use the Platform.
Key definitions
- "Candidate" — A fresh graduate or student who submits the VibeLogic Assessment through the Platform.
- "Employer" — A company or authorized representative that engages with futureZAB to access candidate profiles for hiring purposes.
- "VibeLogic Assessment" — The proprietary 25-question scenario-based behavioral assessment developed by futureZAB.
- "Profile" — The combination of a Candidate's personal information, assessment results, Summary Card, and Full Report.
- "Summary Card" — An anonymized snapshot showing a Candidate's archetype, working style, drive pattern, metric scores, and trait chips — viewable by Employers on the Free plan without revealing the Candidate's identity.
- "Full Report" — The complete AI-generated narrative profile of a Candidate, available only upon purchase by an Employer.
- "Report Access" — The act of an Employer purchasing a Candidate's VibeLogic Assessment Report, which includes the candidate's team-fit profile, behavioral insights, and candidate-consented contact information.
- "Professional Commitment Charter" — The code of professional conduct that Candidates agree to upon registration.
1A. Regulatory Disclaimer
futureZAB is a behavioral assessment and career development platform. We operate two service models (see Section 1B below for details, and our Privacy Policy Section 1B):
- Self-Initiated Assessment — candidates voluntarily take the VibeLogic Assessment for self-development. No personal data is shared with employers.
- Employer-Requested Assessment (B2B Service) — employers engage futureZAB to administer assessments to their own job applicants. This is a professional B2B assessment service, comparable to providers like SHL, Hogan, or Predictive Index.
We are not a recruitment agency, employment agency, or headhunting firm as defined under the Private Employment Agencies Act 1981 (Malaysia) or equivalent legislation in any jurisdiction. We do not recruit candidates on behalf of employers, source candidates, introduce candidates to employers, negotiate employment terms, or guarantee job placement.
1B. Two Service Models
Self-Initiated Assessment: Available at www.futurezab.com. Candidates voluntarily take the VibeLogic Assessment and receive a personalized PDF report by email. The assessment is free. Candidate data is never shared with employers in this model.
Employer-Requested Assessment (B2B Service): Available via dedicated employer URLs (e.g., futurezab.com/VibeLogic-employer/[link]). Employers engage futureZAB to assess their own job applicants. The Employer is the data controller; futureZAB is the data processor. The Assessment Report is delivered to the Employer. See Section 5A for full B2B Service terms.
2. Eligibility
To use the Platform, you must:
- Be at least 18 years of age.
- Provide accurate, current, and complete registration information.
- Have the legal authority to enter into these Terms (for Employers, this means being an authorized representative of your company).
We reserve the right to refuse service to any user who does not meet these requirements.
3. Submissions & Your Information
When you submit the VibeLogic Assessment or provide your information through the Platform, you agree to:
- Provide truthful, accurate, and up-to-date information.
- Immediately notify us at support@futurezab.com if you believe your data has been misused.
- Accept that your submitted information will be processed in accordance with our Privacy Policy.
Note: The Platform does not currently require account registration or login. Candidate assessments are submitted via a third-party form (Tally). When user accounts and login functionality are introduced in a future release, this section will be updated accordingly.
4. Terms for Candidates Candidate
4.1 Assessment
By taking the VibeLogic Assessment, you agree that:
- You will answer all questions honestly and to the best of your ability.
- You will complete the assessment by yourself, without third-party assistance or AI tools.
- There are no "right" or "wrong" answers. The assessment measures behavioral tendencies, not competence.
- Assessment results are generated through a combination of manual scoring and AI-powered profile generation. Results are not a clinical diagnosis.
- Once submitted, assessment responses cannot be modified. A reassessment may be requested after 90 days.
4.2 Profile & data sharing
By completing the assessment, you consent to:
- Your assessment results being used to generate a Candidate Report (PDF) containing your archetype, working style, drive pattern, metric scores, and AI-generated narrative.
- Your Candidate Report being emailed to you at the address you provided.
- Anonymized assessment insights (archetype, working style, drive pattern) may be used in aggregate research or shown in anonymized form to employers who purchase Report Access. Your personal identifying information is never shared without your explicit consent.
4.3 Professional Commitment Charter
As a Candidate on futureZAB, you commit to:
- Professional accountability — If you accept an interview or employment offer resulting from your participation on the Platform, you will attend or give reasonable notice of cancellation.
- Honest representation — All information in your profile is truthful and up to date.
- Respectful communication — You will communicate professionally with all Employers who contact you through the Platform.
Repeated violations of the Professional Commitment Charter (e.g., accepting and not attending interviews without notice) may result in temporary suspension or removal from the Platform. We will always notify you before taking such action and give you the opportunity to respond.
4.4 Candidate fees
The Platform is free for all Candidates. You will never be charged for the assessment or your report. If this changes, we will notify you in advance and obtain fresh consent.
5. Terms for Employers Employer
5.1 Browsing & profile access
- Free preview: You may view anonymized assessment insights at no cost. Anonymized previews do not include candidate names, universities, or contact information.
- Report Access (paid): To access a Candidate's full VibeLogic Assessment Report and candidate-consented contact details, you must purchase Report Access under one of the paid plans.
5.2 Pricing & payment
- Pricing plans and fees are displayed on the Platform. Prices are listed in the applicable local currency.
- Applicable taxes will be applied where required by local regulations.
- Payment is processed through our secure third-party payment gateway. futureZAB does not store your credit card details directly.
- An invoice and receipt will be automatically emailed to your billing email upon each purchase.
5.3 Package credits
If you purchase a Package plan (bundle of Report Access credits):
- Credits are valid for 12 months from the date of purchase.
- Each Report Access deducts one credit from your balance.
- Unused credits may be carried over upon package renewal. Contact our team for renewal options.
- Credits are non-transferable between employer accounts.
5.4 Refunds
- Report Access purchases are generally non-refundable once the full assessment report has been delivered.
- Exception: If a Candidate withdraws their data from the Platform after your purchase and before you have accessed the report, you will receive a full refund or equivalent credit upon request.
- Unused Package credits may be refunded within 14 days of purchase if no credits have been used. After 14 days or after any credit has been used, the package is non-refundable.
- To request a refund, contact support@futurezab.com with your transaction ID.
5.5 Assessment usage guidelines
By using Candidate profiles for hiring decisions, you acknowledge and agree that:
- The VibeLogic Assessment is not a sole selection tool. It must be used alongside at least one other evaluation method (e.g., interview, work sample, reference check).
- Assessment results are directional, not diagnostic. They indicate behavioral tendencies, not fixed personality traits.
- You will not use score thresholds as the sole basis for rejecting a candidate. The scoring range (4–10) does not support clinical cut-scores.
- All archetypes are equally valid. No archetype is inherently superior for any role — fit depends on role context, team composition, and organizational culture.
- You will not use profile data for any form of discriminatory hiring or in violation of applicable employment law.
Violation of these guidelines may result in account suspension and forfeiture of remaining credits.
5A. Employer-Requested Assessment Service (B2B) Employer
This section applies to Employers who engage futureZAB to administer VibeLogic Assessments to job applicants the Employer has independently identified as part of their own hiring process. This is a business-to-business (B2B) assessment service, distinct from the Self-Initiated Assessment service available to candidates on the public futureZAB website.
5A.1 Service Description
- futureZAB provides the Employer with a dedicated assessment URL (e.g.,
futurezab.com/VibeLogic-employer/[link]). - The Employer is solely responsible for distributing the link to their job applicants. futureZAB does not contact the applicants directly.
- The dedicated B2B assessment form collects only the minimum personal information needed to generate the report (no extensive demographic or career profile data).
- Before starting the assessment, the candidate is informed which Employer has requested it and that the resulting Assessment Report will be shared with that Employer.
- If the candidate chooses not to complete the assessment, no report is generated. The Employer is informed that the assessment was not completed.
5A.2 Data Controller & Processor Roles
- For assessments completed via the B2B service, the Employer is the data controller. The Employer has independently decided to collect this data for their own hiring evaluation purposes.
- futureZAB acts as a data processor on behalf of the Employer, processing candidate data only as instructed and only for the purpose of generating the Assessment Report.
- A separate Data Processing Agreement (DPA) will be executed between futureZAB and the Employer prior to service commencement, defining the parties' respective obligations under applicable data protection laws.
5A.3 Report Delivery
- The completed Assessment Report is delivered to the Employer via the contact email registered with futureZAB.
- By default, the candidate does not receive a copy of the report. A copy will only be sent to the candidate if the Employer has explicitly arranged this with the candidate in advance and instructs futureZAB accordingly.
- The Employer has the right to retain the Assessment Report as part of their hiring evaluation records.
5A.4 Employer Obligations
By engaging the B2B Assessment Service, the Employer agrees to:
- Notify candidates clearly and in advance that they have requested a futureZAB assessment, and obtain the candidate's consent before sharing the assessment link.
- Use Assessment Reports solely for the specific hiring decision for which they were requested.
- Not redistribute, resell, or transfer Assessment Reports to third parties without futureZAB's prior written consent.
- Not use Assessment Reports for marketing, employer-database building, or any purpose unrelated to the original hiring decision.
- Comply with all applicable data protection laws when handling candidate information, including the Malaysia Personal Data Protection Act 2010 (PDPA) and any other relevant jurisdictional requirements.
- Delete Assessment Reports and associated candidate data after the hiring process concludes, no later than 12 months from the assessment date, unless retention is required by applicable law.
- Notify futureZAB within 72 hours of any data breach involving Assessment Reports or candidate data obtained through the B2B service.
- Not use VibeLogic data as the sole basis for hiring decisions (see Section 5.5 Assessment Usage Guidelines, which apply equally to the B2B service).
- Not use candidate data for any form of discriminatory hiring or in violation of applicable employment law.
5A.5 futureZAB's Obligations as Data Processor
- Process candidate data only on the Employer's instructions and only for the purpose of generating the Assessment Report.
- Implement appropriate technical and organizational security measures to protect candidate data.
- Retain only a minimal record of each B2B assessment (assessment ID, completion date, score summary) for service quality and audit purposes.
- Not add B2B candidates to the futureZAB Tribe database or use their data for any purpose other than fulfilling the Employer's request.
- Notify the Employer of any data subject requests (access, correction, deletion) received from candidates.
5A.6 Pricing
- The B2B Assessment Service is currently offered on a pay-per-assessment basis.
- Subscription pricing may be available for high-volume Employers.

5A.7 Regulatory Position
The B2B Assessment Service is a professional behavioral assessment service, similar in nature to other established assessment providers (e.g., SHL, Hogan, Predictive Index). futureZAB does not recruit, source, introduce, or refer candidates to Employers under this service. Employers independently identify and engage with their own job applicants, and futureZAB processes the assessment as a service to the Employer. This service does not constitute employment agency activity under the Malaysia Private Employment Agencies Act 1981 or equivalent legislation.
6. Data Protection & Privacy
Your privacy is important to us. Our collection, use, and protection of personal data is governed by our Privacy Policy, which forms part of these Terms.
Key principles
- Data protection compliance: We comply with applicable data protection regulations in our operating markets, including the Personal Data Protection Act 2010 (PDPA) for users in Malaysia.
- Consent: We collect personal data only with your explicit consent, obtained at registration. Consent is not pre-checked.
- Data retention: Personal data is retained for 24 months from last interaction, then automatically deleted unless you extend your consent.
- Who sees what: Candidates see their own archetype, traits, and scores. Employers see anonymized summaries by default, and full profiles only upon purchase. No user sees raw scoring data or response-level details.
- No demographic bias: No demographic data (race, gender, religion) is collected or used in the assessment scoring process.
- Reassessment: Candidates may request a reassessment after 90 days. Immediate retakes are not permitted.
Your data rights
- Access: You may request a copy of all personal data we hold about you.
- Correction: You may update or correct your profile information at any time.
- Deletion: You may request deletion of all your personal data. We will process deletion requests within 30 days.
- Data export: Candidates may download their profile and assessment results in PDF format.
- Consent withdrawal: You may withdraw your consent for data processing at any time. Withdrawal does not affect the lawfulness of processing carried out before the withdrawal. Note: if a Candidate withdraws consent, profiles already unlocked by Employers may not be revoked retroactively.
7. Intellectual Property
All content, design, methodology, scoring algorithms, archetypes, and branding associated with futureZAB and VibeLogic are the intellectual property of futureZAB and are protected by applicable copyright and trademark laws.
- You may not reproduce, redistribute, reverse-engineer, or create derivative works from the VibeLogic methodology, scoring system, or assessment content.
- Candidate Profile data (Summary Cards and Full Reports) purchased by Employers may be used internally for hiring evaluation purposes only. You may not resell, publicly distribute, or share candidate reports with third parties without futureZAB's written consent.
- "futureZAB" and "VibeLogic" are trademarks of futureZAB. You may not use these marks without prior written authorization.
8. Acceptable Use
You agree not to:
- Use the Platform for any unlawful purpose or in violation of any applicable law or regulation.
- Scrape, crawl, or use automated tools to extract data from the Platform.
- Attempt to gain unauthorized access to other users' accounts or data.
- Impersonate another person or entity during registration or use of the Platform.
- Upload viruses, malware, or any harmful code.
- Use Candidate profile information for purposes other than legitimate employment evaluation (e.g., marketing, data brokering, harassment).
- Circumvent, disable, or interfere with security features of the Platform.
9. Limitation of Liability
To the fullest extent permitted by law:
- The Platform is provided "as is" and "as available" without warranties of any kind, whether express or implied.
- futureZAB does not guarantee that any Candidate will secure employment, or that any Employer will find a suitable hire through the Platform.
- futureZAB is not liable for hiring decisions made by Employers based on assessment data. The VibeLogic Assessment is an informational tool, not a definitive hiring recommendation.
- futureZAB is not liable for any indirect, incidental, special, or consequential damages arising from your use of the Platform.
- Our total aggregate liability for any claim arising from your use of the Platform shall not exceed the amount you paid to futureZAB in the 12 months preceding the claim.
10. Indemnification
You agree to indemnify, defend, and hold harmless futureZAB, its officers, employees, and agents from any claims, liabilities, damages, losses, or expenses (including legal fees) arising from:
- Your breach of these Terms.
- Your use of the Platform.
- Any hiring decisions or employment actions you take based on information obtained through the Platform (Employers only).
- Any misrepresentation in your registration or profile information (Candidates only).
11. Suspension & Termination
- By you: You may request deletion of your data at any time by contacting support@futurezab.com.
- By us: We may refuse service or remove your data if you breach these Terms, misuse the Platform, or violate the Professional Commitment Charter (Candidates) or Assessment Usage Guidelines (Employers). We will provide notice and an opportunity to respond except in cases of serious or repeated violations.
- Effect of termination: Upon termination, your access to the Platform ceases. For Employers, unused Package credits are forfeited unless terminated by futureZAB without cause. For Candidates, your data will be processed according to our retention and deletion policies.
12. Dispute Resolution
- These Terms are governed by and construed in accordance with the laws of Malaysia, without regard to conflict of law principles, for users accessing the Platform from Malaysia and Southeast Asian markets.
- Any dispute arising from these Terms shall first be addressed through good-faith negotiation between the parties.
- If negotiation fails, disputes shall be resolved through binding arbitration administered by the Asian International Arbitration Centre (AIAC) in Kuala Lumpur, Malaysia, under its Rules of Arbitration.
- Notwithstanding the above, futureZAB reserves the right to seek injunctive relief in any court of competent jurisdiction to protect its intellectual property and proprietary interests.
13. Changes to These Terms
We may update these Terms from time to time. When we do:
- We will post the revised Terms on this page and update the "Last updated" date.
- For material changes, we will notify you by email at least 14 days before the changes take effect.
- Your continued use of the Platform after the effective date constitutes acceptance of the revised Terms.
- If you do not agree with the changes, you may request deletion of your data before the effective date.
